Last updated 3 November 2026

This policy explains how Plug the Gap Services CIC (“Plug the Gap”, “we”, “us”) collects and uses personal information when you visit ptg.org.uk or get in touch with us, and the rights you have over it.

Who we are

Plug the Gap Services CIC is the data controller for the information described here. We are a community interest company registered in England and Wales, company number 14021392, with our registered office at Unit 8 White Lodge Business Park, Hall Road, Norwich NR4 6DG.

What we collect and why

When you browse the website

The website has no accounts or forms, so we don’t ask you for personal details to use it. Two services process limited information when you visit:

  • Hosting and security (Cloudflare). The site is hosted by Cloudflare, Inc. To deliver pages to you and protect the site from attacks, Cloudflare processes your IP address and technical details of each request, such as your browser, the page requested and the time. Our lawful basis is legitimate interests: running a secure, working website.
  • Analytics (Google Analytics), only if you accept. If you click “Accept” on our cookie banner, we use Google Analytics 4 to understand how the site is used: which pages are visited, for how long, the type of device and browser, approximate location (city level) and how visitors found us. Google Analytics does not run unless you accept. Our lawful basis is your consent, which you can withdraw at any time using “Cookie settings” at the bottom of every page. We keep this data for no longer than 14 months.

See our cookie policy for the cookies and storage these services use.

When you contact us

If you email or phone us, we use your name, contact details and what you tell us to reply and to help with your enquiry, for example a device referral from your organisation, an offer of support or a donation. Our lawful basis is legitimate interests: responding to people who contact us and running our services. We use Microsoft 365 for email. We keep correspondence for as long as we need it to deal with your enquiry and any follow-up, then delete it.

When you donate a device

Any data left on a donated laptop or device is securely erased before the device is refurbished and passed on. We do not access, keep or share data found on donated devices.

Videos

The video on our homepage is hosted by YouTube. Nothing loads from YouTube until you press play. When you do, the video plays in YouTube’s privacy-enhanced mode and Google’s privacy policy applies to it.

Who we share it with

We don’t sell your personal information. We share it only with the service providers named above (Cloudflare, Google and Microsoft), who process it on our behalf to run the website and our email, and where the law requires us to.

These providers may process information outside the UK, including in the United States. Where they do, the transfer is covered by UK adequacy regulations or by contractual safeguards approved under UK data protection law.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use it, or object to our using it
  • ask for your information in a format you can take elsewhere
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, contact info@ptg.org.uk. We will respond within one month.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
